VGRC Hurricane Response Team (HRT) Training

GUIDELINES FOR HRT CALL-UP FOR HURRICANE THREAT

1. Monitor the stormMary Rau-Foster will notify all members of the HRT regarding the potential threat of a hurricane to the west coast of Florida.Mary Rau-Foster communicates with Ray Juan, General Manager (POA) who will make any decision about employees leaving the premises.
2. Notify HRT members of possibility of being called up for duty.Mary Rau-FosterSend email to HRT members. There is a possibility that they be called up. Request notification of availability of the team members. Note: we should have some information about when people planned to be out of town, but some may decide to leave if a storm is predicted for the area.
3. Schedule a meeting with teams (if there is a likelihood of storm). The leaders can conduct their respective sessions.General Assessment-Joe D. Safety- Steve Hefler Reach-out-  to be assigned Logistics-Nancy Nelson (she can answer questions about supplies and equipment and explain how to use walkie-talkies)Mary Rau-Foster can send out email directly to team members or through Constant Contact. Reserve a room at River Club-either the receptionist or the River Club Manager.
4. Create a schedule for respective teams should it become apparent that there is a threat of a storm.Security-Steve Hefler (pre and post storm) General Assessment-Joe D. Reach-Out- to be assignedPlease provide a copy of the schedules to Mary Rau-Foster.
5. Communicate with Ray Juan regarding when the employees will be leaving the premisesMary Rau-FosterThe HRT officially takes over when the management leaves the premises.
6. Steve Hefler gets security supplies and equipment from Nancy Nelson (221 Pesaro Dr) and the key to the guard house the guards (as per Keith Livermore).Steve Hefler, Nancy Nelson and- Keith Livermore (CDD field manager)Steve will meet the security team at the gate and provide them with supplies and equipment, including walkie-talkies.
7. HRT Security takes over at Guardhouse after the guards leave.Steve Hefler will again notify the team members of the pre- and post-storm schedule.Pre-storm- Security team remains until it is not safe to do so.
8. After the storm, notify teams that they are being called up.Mary Rau-Foster will send out text message to all members of the HRT which reminds people of the command center location and time for General Assessment to meet at 221 Pesaro Dr.Note: Team members should have already been notified of the schedule/rotation ahead of the storm.
9. Post storm property surveyJoe D. or designee will assess the property before the teams are sent out.Joe will make the determination as to any streets that must be avoided.
10. The general assessment teams meet at command central 221 Pesaro Dr. (Foster house)Nancy Nelson, Logistics leader will distribute equipment and supplies
11. HRT supplies and equipmentNancy Nelson, LogisticsAll HRT supplies and equipment are stored at 221 Pesaro Dr. and are located in the dining room. 
12. Setting up at 221 Pesaro for the teams. (Security team should already have the supplies and equipment but are welcome to come to the command center, anyway. There is a sign-in table where all members should sign in and out. Joe D. and Nancy NelsonThere are several different sized tables along with chairs in the garage. There is also water in the refrigerator in the garage. Joe D. has suggested that the tables be set up outside. However, feel free to use the indoor space as well.
13. General Assessment teamJoe D. Nancy NelsonJoe will assign two people per golf cart and Nancy will distribute supplies, reflective vests, clip boards and assessment sheet
14. General Assessment team returns to command center. All members should sign out.Joe D. and Nancy NelsonJoe D. will collect forms and verbal reports from team members. Nancy will collect the equipment and supplies.
15. General Assessment forms should be given to Mary Rau-Foster for compilation of information, at a later date.Mary Rau-FosterA report with the compiled information should be sent out to the community by Constant Contact email and to the POA and CCD.
16. Post-storm- HRT returns to a supportive roleRay Juan returns to the property and the HRT steps back. Mary Rau-Foster provides a report to Ray Juan. She confers with Ray to determine if and how the HRT can continue to be helpful.
17. Supplies and equipment inventory.Nancy NelsonAn inventory should be conducted of supplies and equipment. Any replacement requests should be sent to Steve Hefler for approval. Batteries should be removed from equipment to prevent damage from corrosion.
